Proposal Coordinator
Position Summary
We are seeking a detail-oriented and proactive Proposal Coordinator to support our marketing and business development teams. Reporting to the Senior Marketing Manager, this role is integral in ensuring seamless proposal development and execution while maintaining brand consistency across marketing materials.

The ideal candidate will have strong written and verbal communication skills, the ability to manage multiple projects under tight deadlines, and a keen eye for accuracy and quality. This position requires someone who thrives independently and in a collaborative team environment, effectively balancing multiple priorities in a fast-paced setting.

Key Responsibilities
As a Proposal Coordinator, you will:

  • Manage the proposal process from initiation to completion, including developing compliance matrices, schedules, and outlines.
  • Collaborate with internal teams and sub-consultants to craft compelling and compliant proposal content.
  • Develop and maintain proposal templates to improve efficiency and ensure brand alignment.
  • Write and edit technical content, ensuring clarity, consistency, and persuasiveness.
  • Coordinate and process inputs from multiple team members, weaving content into a cohesive, engaging narrative.
  • Organize proposal reviews and status meetings, ensuring deadlines and quality standards are met.
  • Prepare and format qualifications packages, RFIs, RFPs, and marketing materials aligned with brand guidelines.
  • Support interview presentations and team preparations as needed.
  • Manage a proposal tracking system, monitoring deadlines, submissions, and success metrics.
  • Contribute to marketing initiatives, such as client events, award submittals, tradeshows, and social media engagement.
  • Perform additional duties as assigned to support marketing and business development efforts.

Required Qualifications
  • 3+ years of experience in proposal development within the architecture, engineering, or construction (AEC) industry.
  • Experience with federal proposals (e.g., SF330, design-build, construction formats) is preferred.
  • Bachelor’s degree in Marketing, Communications, English, Architecture, Engineering, or a related field (or 5+ years of equivalent experience in proposal development).

Skills & Competencies
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint).
  • Advanced skills in Adobe Creative Suite (InDesign, Photoshop).
  • Excellent writing, editing, and proofreading abilities, with a strong grasp of technical content.
  • Ability to interpret RFPs, RFIs, RFQs, and proposal-related documents accurately.
  • Highly organized, detail-oriented, and capable of managing multiple deadlines.
  • Strong interpersonal skills, with the ability to collaborate across departments and with external partners.
  • Experience with marketing communications and PR initiatives, including social media strategy, is a plus.
  • Self-motivated, proactive, and able to thrive in a fast-paced environment.
